Deploying a Web Application to Streamline Invoicing for a Provider of Lifesaving Transplants
The Challenge
Our client is obligated to invoice their clients and customers for the services which they provide during the storing and transporting of organs and tissues. With the existing, out-of-date FoxPro based applications they were using, producing invoices was a slow and tedious process. Invoices were often not entirely accurate and not being digitally stored. Furthermore, data was scattered across several applications, making producing invoices a very time consuming task for their staff. Another issue with invoicing was the various exceptions that result from unique client requirements of how their invoices needed to be produced (requiring customization), as well as the differences of how certain tissues are invoiced, as some clients receive discounts while others did not. Furthermore, there was an inability to timely produce invoices for certain organ or tissue types due to inefficiencies in recovering the required records and information.
These types of invoicing exceptions were often not detected until the invoices are returned by their clients/customers, which sometimes took many weeks. These exceptions were applied by physically looking through the documentation, and were based on the individual employees’ judgments when generating the invoices, resulting in a lack of consistency even among individual clients. To produce an invoice in the old process took up to 30 minutes or more. This inefficient processing cost the organization valuable time and money. They needed a better way to handle these processes to contain costs and ensure proper reimbursement on a global scale.
